Terms and Conditions

In registering for the World Health Care Networks (WHCN) Conference 2012 delegates, sponsors, exhibitors and
speakers agree to the following:
Event Organiser
The Australian General Practice Network (AGPN) in-house events team will be managing the WHCN Conference
2012. All correspondence will come from AGPN/WHCN.
Privacy
Your contact details will be used to compile a delegate list to be made available to delegates, sponsors,
exhibitors, speakers; AGPN/WHCN event organisers; Certain, the company that hosts the on-line registration
facility; venues and accommodation providers for the purpose of room bookings (if applicable) and parties
associated with related events.
If you are a table top presenter, your abstract can be loaded to the WHCN website and with prior approval,
keynote and concurrent speaker presentations may also be loaded to the WHCN website for delegates to view.
Any photos that include or feature you can be used to promote the WHCN Conference 2012.

Disclaimer
At the time of registration AGPN/WHCN has provided the most recent information available and I accept that the
content and/or the delivery of the AGPN/WHCN Conference can change beyond their control. AGPN/WHCN will
not take any responsibility for any errors, omissions and changes to the program and content for the WHCN
Conference 2012.
Registration
If you are registering on behalf of a delegate/s it is your responsibility to notify the delegate of the terms and
conditions of registering, for which you will be agreeing on behalf of the delegate/s and organisation. Your responsibility also includes providing
full details of their attendance record included in their confirmation letter and tax invoice.
Emergency contact
AGPN/WHCN has the delegate's consent to contact their emergency contact if necessary.
International Exchange Fee
An international exchange fee will be charged to delegates registering from countries outside Australia. This fee
covers charges incurred for the transfer of currency. Please note that this fee will be charged for each transaction
made.
Cancellations
Registrations: notifications of any alterations or cancellations must be sent in writing by post, facsimile or email to
Nicole Shepherd, Events Coordinator. A full refund of all fees, less an administration fee of $100 will be paid to
any delegate cancelling before Friday 22 June 2012. If fees have not been paid prior to cancellation, the $100
administration fee is still applicable.
After Friday 22 June 2012 refunds for registration cancellations are possible under exceptional circumstances.
Cancellations and no shows that have not paid will be required to pay the full registration fee.
Accommodation: no accommodation refunds will be granted after Friday 20 June 2012.
If a registered delegate is unable to attend, a substitute delegate is welcome to attend at no additional cost.
Substitute registrations/delegates must be advised in writing to Nicole Shepherd.
Fees and payments
Payment to attend the WHCN Conference 2012 must be made prior to the commencement of the event unless
otherwise agreed with AGPN/WHCN. A late fee of AUD $90 will be charged per delegates for fees not paid prior
to the commencement of the WHCN Conference 2012.
Please ensure that the invoice number is quoted in the payment subject field and a remittance advice is sent to
agpn-events@agpn.com.au for payment allocation.
Accommodation requirement
It is a requirement of the hotels that you provide a credit card or a cash deposit and photo ID on check in. This is
to cover incidentals incurred during your stay and will be required even if you have paid in full before arrival.
Indemnity
Should for any reason outside the control of AGPN/WHCN, the venue or speakers change, or the event be
cancelled, AGPN/WHCN shall endeavour to reschedule. In this instance I will indemnify and hold AGPN/ WHCN
harmless from and against any and all costs, damages and expenses. This agreement is subject to the laws of
Australia and in agreement below ensures acceptance of this indemnity.
Insurance
Registration fees do not include insurance of any kind. It is strongly recommended that all delegates take out their
own travel and medical insurance prior to attending the event. The policy should include but not be limited to the
loss of fees through cancellation of your participation or through cancellation of the event itself, loss of airfares for
any reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should
travel arrangements have to be altered. AGPN/WHCN will not take any responsibility for any delegate failing to
insure.
Force Majeure
Neither party shall be liable in damages or have the right to terminate this agreement for any delay or default in
performing hereunder if such delay or default is caused by conditions beyond its control including, but not limited
to Acts of God, Government restrictions (including the denial or cancellation of any export or other necessary
license), wars, insurrections and/or any other cause beyond the reasonable control of the party whose
performance is affected.
